Venue Guardian ("Venue Guardian", "we", "us", or "our") provides a platform for running inspections, tracking corrective actions, and producing audit-ready reports across the venues you operate. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website and the Venue Guardian application (together, the "Services").
By using the Services, you agree to the collection and use of information in accordance with this policy.
Information We Collect
Account information. When you create an account or are invited to a workspace, we collect your name, email address, role, and the organization and teams you belong to.
Content you provide. We store the data you create in the Services, including inspection templates, completed inspections, photos and other evidence, corrective actions, locations, and reports.
Communications. If you email us or use in-app support, we keep your messages and any attachments so we can respond and improve the Services.
Usage and device data. We automatically collect limited technical information such as your IP address, browser type, pages viewed, and timestamps. We use this for security, troubleshooting, and to keep the Services reliable.
Cookies. We use strictly necessary cookies to keep you signed in and to secure your session. We do not use cookies to sell your data or to serve third-party advertising.
How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Services;
- Authenticate users, secure accounts, and prevent fraud or abuse;
- Send transactional messages such as sign-in links, notifications, and replies to your inquiries;
- Respond to support requests and communicate about your account;

Within your organization. Content is shared with other members of your workspace according to their role and permissions. Workspaces are tenant-isolated — we do not share your organization's data with other organizations.
Service providers. We work with vetted vendors who process data on our behalf, including cloud hosting, authentication, and email delivery. These providers may only use the data to perform services for us and are bound by confidentiality obligations.
Legal reasons. We may disclose information if required by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Venue Guardian, our users, or the public.
Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction; we will notify you of any change in ownership or use of your data.
Data Retention
We retain your information for as long as your account is active or as needed to provide the Services. We may retain certain information after account closure where necessary to comply with legal obligations, resolve disputes, maintain security, and enforce our agreements. When information is no longer needed, we delete or anonymize it.
Security
We use industry-standard technical and organizational measures to protect your information, including encryption in transit, scoped access controls, tenant isolation, and ongoing monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work continuously to protect your data.
Your Rights and Choices
Depending on your location, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can update much of your account information directly in the app, or contact us to exercise these rights. We will respond consistent with applicable law.
Most of our emails are transactional and necessary to operate the Services. Where we send optional communications, you can opt out using the instructions in the message.
Children's Privacy
The Services are intended for use by businesses and their personnel and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can remove it.
International Users
We may process and store information in countries other than where you live. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection consistent with applicable law.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Services after changes take effect constitutes acceptance of the updated policy.
